Good spares data can improve the effectiveness of your EAM/CMMS system.  Materials improvements should be considered prior to implementing a new EAM/CMMS system. Here are several things worth considering.

Improving your spares data is a good first step in your journey to improve procurement, planning and scheduling. An EAM migration provides an ideal opportunity to evaluate your materials data as it is.

Taxonomy: Standardizing Descriptions

The most important part of taxonomy is consistency, of course. A consistent taxonomy is the simplest way to oversee intuitiveness in your new EAM/CMMS system. Aside from standardized naming conventions, it’s also key to consistently format parts descriptions, manufacturer names, units of measurement, etc. Critical attributes of all spares should also be captured. Therefore, transitioning to your new EAM/CMMS system, ensure the taxonomy is consistent across all parts to make data easy to interpret and use.

Shared Across the Enterprise

Next, one of the cornerstones of an improved materials list is standardization across the enterprise. Not just with naming conventions, but information needs to be consistent and shared for users across numerous locations. This can reduce the amount of work creating materials in your EAM/CMMS system, avoid duplicates and facilitate the sharing of inventory.

Eliminate Duplicates

Creating and having duplicate parts in your EAM/CMMS system is very inefficient.  The occurrence of duplicates might seem like a simple oversight. They can appear when users encounter difficulty finding parts in the EAM/CMMS system, sometimes due to poor descriptions. Users create additional entries instead of locating the original one. The more duplicate parts you have, the more disorganized your EAM/CMMS system becomes, and the more costs associated with inventory inflate.

Consider Procurement Analysis

Once you have accurate standardized parts descriptions across your enterprise consider doing some procurement analysis to identify potential savings.  Find the lowest cost suppliers, ask suppliers to respond to RFPs for common parts, share expensive inventory across different sites and look for many other sources of savings.
